Organise tax documents into clean PDFs for your accountant or tax software

2026-10-06

Accountant portals and tax software accept uploads, but they tend to cap file sizes and work better with one file per category than forty loose photos. An hour of organising before filing season saves far more during it.

One PDF per category

  • Income forms β€” W-2, 1099 and similar, in one file
  • Deductible expenses β€” receipts grouped by type, photographed and converted with Image to PDF
  • Statements β€” bank and brokerage PDFs merged by account

Assembling and sizing

Convert photos first, then merge with downloaded PDFs using Merge PDF. Name files by date so they fall into order. Add page numbers at the end so your accountant can refer to page 14 rather than the third receipt from the top.

Receipt scans compress well because only the figures need to be legible. Use medium or strong. Income forms should stay at light, since every box has to be read exactly.

Keep a copy

Tax records are typically kept for several years. Keep the merged PDFs alongside the originals rather than replacing them.

Frequently asked questions

The portal says my file is too large.
Compress at medium first. If a statement bundle is still over the limit, split it by account or by quarter.
Are these files uploaded anywhere while I work on them?
No. Processing happens in your browser; nothing is sent to a server.
