Mortgage application documents as PDF — pay stubs, statements and tax returns that upload cleanly

2026-10-06

A mortgage file is dozens of pages across half a dozen categories, and lender portals are strict about both format and size. Documents that come back as unreadable or incomplete cost days. Here is how to prepare them once.

What underwriters reject

  • Statements with the account number or page footer cropped off — they need every page, including blank ones that say intentionally left blank
  • Photos taken at an angle where figures cannot be read
  • A single giant PDF mixing categories

Preparing each category

Download statements as PDF where the bank offers it; it beats scanning. Merge the months the lender asked for into one file per account with Merge PDF. Pay stubs photographed on a phone go through Image to PDF, straight on, with the whole page in frame.

Compress at light only. Underwriting reads small print and footers; strong compression is where these get bounced.

Before sending

Clear document properties with the metadata tool so no stray author names or file paths travel with the file, and double-check that nothing was cropped.

Frequently asked questions

The portal has a size limit and my statements are over it.
Split by month or by account rather than compressing beyond light. Readability matters more than file count here.
Can I black out parts of a statement?
Generally no — lenders want unaltered documents. If something must be withheld, ask the lender how they prefer to handle it.
